1. Scope
Pixel Wonderland Academy (“PWA”, “we”, “us”) is a Fraser Health Licensed Group Child Care operator in Fleetwood, Surrey BC. This Privacy Policy covers the personal information we collect, use, and disclose through this website (pwacademy.ca) and through our enrollment and operations processes. It is written to comply with British Columbia’s Personal Information Protection Act (PIPA).
For child-care records that are part of our licensed operations (attendance, medication, emergency contacts, incident reports, consent forms), we follow Fraser Health licensing record-keeping requirements in addition to PIPA.
2. What we collect
Through the website forms (/admissions waitlist and tour booking) we collect:
- Parent / guardian name, email, phone
- Child name, date of birth, program of interest, ideal start date
- Notes you choose to include — questions, allergies, special needs you are comfortable sharing at this stage
We do not require medical, financial, or sensitive information at the waitlist or tour-booking stage. When you enroll, separate consent-based intake forms collect what is necessary for licensed child care.
3. How we use it
- To reply to your inquiry and arrange a tour
- To place you on the waitlist and contact you when a spot opens
- To prepare enrollment paperwork (only after you choose to enroll)
- To administer government child-care subsidies (ACCB and CCFRI) on your behalf, with your consent
We do not sell or rent your personal information to anyone.
4. Who can see it
- The PWA owner-operator and a small number of authorized PWA educators / administrators
- Cloudflare (our website host and bot-mitigation provider) processes form submissions in transit
- Formspree (our form-relay vendor) routes submissions to our email inbox
- Fraser Health (during compliance inspections) and BC Ministry of Education and Child Care (for licensing & subsidy administration), under their statutory authority
Storage outside Canada: Cloudflare and Formspree are US-based service providers, so website form submissions are transmitted to and processed on servers in the United States and may be subject to US law. We limit this to the minimal information described in Section 2, use only the vendors listed above, and hold them to confidentiality. We do not otherwise transfer your information outside Canada, and we do not sell or rent it to anyone.
5. How long we keep it
- Inquiry-only submissions (tour bookings that did not lead to enrollment): up to 24 months, then deleted
- Waitlist records: until the spot is offered or declined, plus 12 months
- Enrolled-family records: kept 3 years after your child’s last day of care (centre policy; the BC Child Care Licensing Regulation minimum is 2 years), then securely destroyed. Photos and videos follow the Photo/Media Release (duration of enrollment plus 1 year). Government funding records (CCFRI/CCOF) are kept longer where the funding agreement requires.
6. Your rights under BC PIPA
You have the right to:
- Withdraw your consent at any time (we may still hold records required by Fraser Health licensing)
- Request access to the personal information we hold about you and your child
- Request correction of inaccurate information
- Ask how we collected, used, and disclosed it
- File a complaint with the Office of the Information and Privacy Commissioner for BC (OIPC) if you are not satisfied with our response: oipc.bc.ca
7. Children’s information
Children’s personal information is collected only as necessary for licensed child care and only with parent / guardian consent. Use of a child’s photos and videos is governed by the Photo & Media permission in your enrollment package: a single optional permission covering both (a) learning records & classroom documentation and (b) our social media & promotion. You agree to both or decline entirely — you can decline and still enroll — and you may withdraw your permission for future use at any time in writing. We never sell children’s images or share them with unrelated third parties. Images published to our website or social media may be hosted or cached outside Canada and cannot always be fully removed once posted.
8. Cookies and analytics
This site uses minimal cookies:
